The user has the ability to turn On/Off customers for Contact Methods/Contact Types, VINs and set Customers to Active/Inactive through the Import function: OffList. This is useful if a Dealership has a lot of lease returns and would like to remove these vehicles from the customer's file, or to import the Do Not Call Registry and have DealerMine automatically update the customer file.
Things to note about importing an OffList
Required columns: Serno and Turn Off Reason.Â
Serno must exist in our database for the store that it is chosen during import or the record is ignored.Â
Turn off Reason must exist in our database or the record is ignored.Â
The Import can be deleted but the changes can't be rolled back since the value may have been changed by multiple other sources including Customer Profile, Other imports, Call Process, and Campaign Email Stats.Â
Below are the Contact Methods and Contact Types that the user can map to turn the options On/Off. To Turn off VIN or set a customer to Inactive/Active, the Reason Codes must match the Reason Codes under the Administration screen Turn Off Management. For example, to turn off a VIN, key code "Does Not Own This Vehicle" or to turn off a customer, key code "Do Not Solicit" in the spreadsheet that will be imported.Â
Before you can begin
You must have access granted to import files through fetch. To ensure you have access, see your administrator. They will need to go to Administration->UserSetup, and select the user. Then, go to UserDefaults->Options->DealermineAccess, and check Fetch->ImportData.
Delete blank rows.
Delete garbage data.Â
Ensure there's only one header row with the column names.Â
Save the file as a CSV (Comma delimited: it cannot have commas in the data).
 Templates
To create a template, select tabs Fetch-> Import Management->Templates, and click Create New Template.
Presented on the screen is the Configure Fields popup.Â
Select File Type: OffList.
To link columns from the user's file to Dealermine, select: a field from Columns in your file and a field from Available Field, and then click the Link icon. The linked fields display under the Template fields selection box. Note: Serno and Turn Off Reason are mandatory fields.Â
Click Save, and presented on the screen is the Save Template popup.Â
Key in the Name and Description in the correlating text boxes. Clicking Cancel brings the user back to the Configure Fields Popup. Note: clicking Restore Defaults clears the records that were linked and displayed in the Template Fields selection box. Clicking Cancel clears the window from the screen.
Below is an example of the Spreadsheet that the user can import. The column headers names populate the list box Columns in your file, and these fields are linked to the system columns listed in Available Fields.Â
Import
To import, select tabs Fetch-> Import Management->Imports, and click Import.Â
Presented on the screen is the Import a file popup:
Step 1: Select the Store and Branch.
Step 2: Select a template from the Template Name drop down, or click Create New Template (see steps below for Templates)
Step 3: Click Preview File. This preview displays all the records being returned for the Template selected. Note: if the user views in the header "Please correct the errors specified in the Import Messages column" and the column ImportMessages populated with a Reason, the file won't be allowed, and the user cannot save.Â
Step 4: Key the Import Name in the correlating text box. Add a Description if necessary.
Step 5: Save Your Import Data, click Save.
The customers have now been turned On or Off for Contact Methods or Contact Types .
