Service Leads are now manageable in our new Leads tab. All service leads setup can be viewed and managed in the Leads tab, separate from the Email Inbox. Our new service leads management tool allows you to manage leads effectively and track lead history for any time period.
Store Setup -
Under Usersetup, to avoid populating Report Access when it's not required, the have been rearranged in the following order: User Info>Store Access>User Defaults>Component Access>Report Access.
Email Setup - When the user clicks Add Provider from the Email Setup screen, a new popup appears "Add Provider". The workflow to setup a new provider is still the same, but now the creation of an email provider has a similar look and feel to the Add New User setup.Â
Email & Texting Templates -> Email -> new parameters have been added to the eService templates:
Store Setup - On the Store Directory screen, the option to add a UIO code (Units in Operation) and Dealer Code has been implemented. Note that the UIO code is linked to the total number of vehicles that a dealership has sold that are still with the original owner and are still on the road. These are the Active VINS displayed on Key Report #5: DealerMine System Performance Report. These codes are a must for Hyundai stores.
Maintenance Configuration - OpCode Utilization: Add a new OpCode or Inactivate OpCodes so the codes no longer display as a selection.Â
Global Setup -
Manage Letter Templates-> Administrative users now have the ability to delete Templates. This is useful if a Dealership has old out-of-date templates. To grant access to this option, select the Administration button, and go to->Store Setup->UserSetup->UserDefaults->DealerMine Access->Admin Screen->Manage Letter Templates->Delete Letter Template.Â
Appointment Schedule -
Transportation Configuration - From the Administration screens, select Transportation Configuration, and set the maximum appointments for a transportation type. In the text box, key the Max Appointments and click Save. Now when the user selects a Transportation Type from the Book Appointment Form, it displays how many appointments have been booked for the selected transportation type for the selected time. Note: This doesn't actually stop the user from over booking for the selected transportation, it only displays a count of how many appointments for the selected day/time have been booked for the selected transportation type.
 Profile Screen
Search View - has a new quick-find option. It's the icon next to Customer Number and sorts by customers with Booked Appointments.Â
Add Note - the number of characters for a customer note has gone from 255 characters to a maximum length of 1400 characters.Â
Followup - When a followup is saved, the entry date is now logged . This makes sorting through followups easier for the user.Â
Service History - Indicator Icon for WIP was displaying Service Driv. This was due to a Web Service change and the issue has been resolved.Â
Customer Information - screen displays DMS turn-offs for ADP, Reynolds and Dealerbuilt stores.Â
Purchase History - additional fields have been added to the Purchase History tab for more meaningful referencing such as: Stock #, APR %, Down Payments etc. The layout of the tab has changed for easier viewing.Â
Text History - Blends Text History for all merged files. Also, a hover over has been added in Text Hist on the icons for outgoing and incoming (red is outgoing, black is incoming).
Star Rating - New hover over under the Customer Information -> Star Summary has been added to give more detail regarding the rating and the weight towards the total star value.Â
Recommended Services - For ease of viewing, the Recommended Services Popup has changed.Â
Reports - New Key Report #4 -> Contact Analysis Report by Store Name All Users Combined. This report helps to save time with the manual calculation of different objection codes.Â

Appointment History has been added to the Source drop down in Fetch. Users can view Appointment Comments with this function. To view, select Source->Appointment History, run a query, and Save. Click Tools->Configure Fields and add Comments.Â
Users can send a test email through fetch to ensure the email makes it to the customer.Â
Appointment Schedule -Â
List View - From List View, when an Appointment Coordinator selects a team from the drop down and clicks the Book Appointment icon next to the time row, the Book Appointment Form now auto populates with the team selected from the List View.
Settings - use of the function Mark Day As Full can now be restricted to certain users. An administrator can grant/revoke access to this function by checking (under the Administration functions) User Setup->User Defaults->DealerMine Access->Appt Sched-> Mark Days As Full.
The complaint box and comment box on the Book Appointment form can now contain 1500 characters for ADP and Dealerbuilt stores.Â
When scheduling appointment, the recycle option chosen (i.e. Move on to Next Customer or Stay on Customer) will be the option selected for the next customer. Â
Resolutions
Letters - From the Letters tab, when the user selected a Store and Branch, it displayed the same letter information instead of the letters in queue. This issue has been resolved.Â
Maintenance Configuration - The Opcode Utilization screen was displaying all OpCodes for all stores regardless of the store selection. This required a service change and the screen is now functioning properly.Â
Recycling a Followup - the Followup (orb) didn't decrease, and the action of Recycling the Followup didn't refresh the Followup indicator to clear from view. This issue has been resolved.Â
Name Tab - There was an issue with Service BDC users not being able to see Appointment Counts Inbound/Outbound under their name tag. This issue was due to a settings change and has been resolved. If there is still an issue with users not being able to see counts, go to the Administrative screens. Select User Setup->User Defaults->DealerMine Access and ensure that UserSummary->Appt Counts is checked.
Appointment Schedule -Â
Some Dealerships were having an issue with Edit Appointment. When the Book Form was presented, and the user clicked View Schedule, the Appointment Schedule was defaulting to the wrong Store/Branch. This was caused due to a refresh issue and has been resolved.Â
From the Appointment Schedule, when selecting Settings-> Mark Shop as Full, some Dealerships had an issue with the day selected to mark-as-full was marking the selected store and all other stores listed for the Dealership as full. This issue has been resolved. Now, only the selected store marks as full.
Appointment History - Some of the R&R and ADP DMS's were not displaying the Appt Hist information. The issue has been resolved.Â
Reports -
Issue with Composite Report -> By Store name By User name - store option for some users was missing. This was due to a user setup issue and it has been resolved.Â
eService -Â
Users had an issue with Password Validation. The password that was required was too strong. We have limited it to 6 characters.Â
Unsold Leads - The tab displays the Average Response Time which is the average time taken to respond to a lead for the first time, and the Average Lead Age is the age of the lead starting from when the lead first populated the New Leads tab. These new features can be viewed on the bottom of the left-hand menu.Â
Deleted is now displayed in the filter drop down Status. This way if a Manager wants can view deleted leads. There's also a function to undo the delete, right click and select Undelete.
Service Leads now display under the Leads tab.Â
Profile Screen:
Lead Hist (tab) - displays the same information as the Lead History tab under Leads.
Notes (tab) - Right click functionality to edit a note for both Private/Public settings. This is only an option for the author of the note.Â
Vehicle Locate:
Inventory - displays a column for Inventory Status (description if possible) and Received Date in Inventory. Â
Inventory - also displays an icon of a Wrench. This is displayed as an indicator for Managers that a vehicle has an open RO. This can help to determine cost and selling price more accurately.
Black Book - users can change the black book value province/state. This is useful if a Dealership wants to display values different than the province/state in which the Dealership is located. To do this, go to the Store Setup administration screen, and select Black Book Values from the menu.Â
Traffic Log:
Users can now schedule a delivery for Vehicles marked as Sold.Â
Work Plan:
My Followups - page header displays the count of records per menu selection.Â
Search Screen:
Sales People can protect their prospect files by viewing the Salespeople that have made contact with their prospects. They can view these contacts by doing a search on their prospect's file from the Search screen, and view the Traffic Log and Current Sales person who display in the first two columns of the screen. These columns areonly viewable to Showroom users.
