Booking Options
Round Robin - use the (Any Team) (Any Advisor) option and DealerMine will round robin, choosing the first team, first Advisor in the list.
Book for a Specific Team - choose a Team from the drop down list and select (Any Advisor) from the drop-down Book for Advisor. The selection will round robin to an advisor assigned to that team, or the user can choose one of the Advisors assigned to that Team. Only Advisors assigned to that team will be visible in the drop down list.
Book for a Skill - choose a Skill from the Team drop down list, and select (Any Advisor) from the drop-down Book for Advisor. The selection will round robin to an advisor. When a dealership is setup for Skill booking, the user can leave the drop downs as (Any Team)/(Any Advisor) and the appointment is booked in the appropriate slots for the selected date and time according to the OpCodes added for the appointment.Â
Book for Appointment Coordinator - each Appointment Coordinator has the option of booking an appointment using their own Advisor number when no team is selected. This will allow appointments to be booked with the Appointment Coordinators Advisor number to be changed at the time of write up by the Advisor.
Book for Last or Preferred Advisor - when no team is selected, view the Book for Advisor drop down and there will be a (L) for Last Advisor and a (P) for Preferred Advisor.
Appointment Date/Promise Date - Promise Date is always the same as or greater than the Appointment Date. If the Appointment Date is edited, the Promise Date will only change if the Appointment Date becomes greater than the Promise Date and if this should occur the Promise Date automatically displays same date as the Appointment Date.Â
Transportation - Previously, when a user wouldn't pick a Transportation Code, it defaulted to Drop Off. If the user (for example) would type "Shuttle" in the Appointment Form's Comments field, once the appointment was booked, the "Shuttle" Comment would get removed.Â
Now, the Transportation in the comment remains when the appointment is saved. Changing the Transportation Code from the drop down will only change the Transportation Code at the beginning of the comments and not throughout the comment. If a Transportation Code is not contained in the beginning of the comment, and a Code is selected from the drop down, it will be added when the appointment is saved.Â
Comments entered in the DMS: If they're typing it in the DMS, it has to be in the format of advisor number // comments or transportation code//advisor//comments these are the only two that will work consistently when entered in the DMS and pulled into Dealermine.Â
Options
If a Dealership has Prevent OverflowBooking and/or Prevent ShopOverbooking checked, this prevention can be bypassed by certain users if an admin sets their access to Allow user to override booking limitations checked.Â
If this option is set, when the user goes to book an appointment by default, everything works the way it normally does, but there is a button on the form to Override Overbooking Limitations.Â
Who entered the override (e.g. which user entered their credentials to authorize) is recorded permanently.Â
When overbooking is enabled, overbooked skills show in red, but can be booked anyway. The times list will repopulate to show all times, including times that are fully booked.
NEW - Version 6.7 - Released Nov 3, 2016
If a user has access to Override Booking Limitations and both prevent overflow booking and prevent shop overbooking are turned ON for the dealership, the user can override and finish a booking. Prior to this change if both were turned on then they could not override. Override was only working if Prevent Overbooking Shop was turned on.
Note:
Draft appointments only stay on the customer's file for 14 days by default, but this value is customizable by store/branch. See Store Specifications to customize.
When booking on a Reynolds (ERA) Store ensure the time zone on the user's computer is using the same timezone as the Dealership. This is due to the real-time integration and the service that receives the data given to DealerMine.
