3. Recycle Setup

Recycle Setup

• • Gives users the ability to create Recycle options for each Contact Type used when making customer contacts in DealerMine.

From the left menu, first select a Contact Type

• • Add Recycle Codes by clicking the Options drop down...Add a Recycle Code

  • Key the Recycle Name, Recycle Days (this is the number of days that must pass before the file appears again for selection), and check the check box Productive if the call is considered a productive recycle and check the box Showroom if this is to be used in Showroom. 

The grid will show the following details:

• • Recycle Code

  • Days (Factor Days)  Any VIN recycled will not come back on the Call Select screen for another contact until the number of days elapses.

  • Last Date Used

  • # of Times Used

  • Date Calculated (updates on nightly download)

  • Make any active Recycle Code "Inactive" by unchecking the active box.

  • All Inactive Recycles codes are will now be listed in the same list but pushed to the bottom of the list. 

  • All Inactive Recycle codes will not be available for selection when recycling.

  • Inactive Recycle codes, when edited can be changed to active again and will be presented to the user when recycling.

  • Showroom - this column only displays on Contact Types: "Sales, Unsold, Marketing and Leads" Only those checked will appear as options to use when recycling in Showroom.  Showroom users will only see Recycle codes checked off for Showroom.

Last Date Used and # of Times Used

Last Date Used and # of Times used are now visible for each Recycle code.  Any recycle codes that have been used less than 10 times or haven't been used in over a year will be flagged in red.  Any recycle codes flagged in red can be deleted.  This will help admin users to see which recycle codes are being used most often.

Note: 

• • Only Recycle codes flagged in red may be deleted.  All others can only be inactivated due to Contact History.

• Any Recycle codes that are edited and made "Inactive" will also turn red after the next nightly download runs.

The column "Date Calculated" in the Admin screen > Global Setup > Recycle Setup will display the date of the last time each Recycle Code was last calculated for getting the Last Date Used and # Times Used.

Recycle Codes for Unsold – for all dealerships using Unsold Automated Workflow there will be  two mandatory recycle codes in Recycle Setup > Unsold,

• Sent Letter

• Sent Email

These two mandatory recycle codes will default to a recycle of 5 days, the days can be changed according to the dealerships needs however the mandatory Recycle Codes for Unsold cannot be deleted.
