The Appointment Schedule (similar to the Team View) can now be displayed by the Skill View associated with various Opcodes, and to have a limited number of slots for each of these skill types. This is essentially a form of department-based booking.Â
If a store has skill groups set up, the Book Appointment form shows which groups the current appointment falls under based on the items added (usually this will be only one, but it's possible for an apt to span two skill groups).Â
If Prevent-Overflow-Booking is set (from the Administrative screens), the form does not allow booking with line items from the overbooked Skill Group, and it clearly indicates which these are so they can be removed.
Appointment Schedule now includes Non-existent Opcodes when listing appointment schedule lines/ops. Currently, the appointment schedule (list view, hover-over, and Operations sidebar) only list opcodes that have been set up fully and exist; however, many DMSes (particularly Dealerbuilt), also allow to add lines without true opcodes (for example, no_opcode on Galpin). These fake Opcodes were showing up on the Book Appointment form and in the Open Appointment dialogue on the profile, but not on the Schedule pad. Now, the appointments show up on List View and in the Operations sidebar. The no_opcode listing is compiled into a single no opcodes item in the sidebar, and the user is still able to see the actual dummy code name when looking at the specific appointment in List View or hover-over.
The Appointment Schedule Pad shows details of the appointment on a hover-over.Â
List View - Right Click on an Appointment and have the same functionality as the Scheduler View: i.e. ability to Edit/Delete.
When a customer has a large monitor, the List View Opcode lines display used to leave most of the screen empty. Now, move the lines farther to the left and the extra space is used to show the complaint. If the complaint is too large, it's preceded by a ... click the code and the complaint displays in a popup.
The header column in Team or Skill view displays a graph for hours and appointments booked.Â
dueformaintenanceYesNoPulls - all customers that are due for all types of maintenance regardless of being in the contact queue.
ServicedSinceTurnedOff - returns 'Yes' or 'No' if a service has been performed since a customer has been turned off, or the user can use the word 'Any', and it will ignore the reason code and just return if they have been in for service since turned off for any reason. Note: Remember to go into Exclusions and un-check. Also added, functions to return: username (Turn Off Username), offdate (Turn Off Date), and reason (Turn Off Reason) for columns so the last RO Date can be compared.
Customer Notes and Vehicle Notes - If a user has access to Import, they can import notes on a customer or vehicle. This note appears on the Notes tab in DealerMine.Â
Opcodes are linked to specific skill categories manually.Â
Setup screen determines how many slots are available for the various skills. This has its own blocking rules as teams do.Â
When Prevent-Overflow-Booking is turned on for a store that has skills configured this way, it limits per day the number that can book for a specific skill groups.Â
4. Admin Screen - Store Specifications:
PreventShop Overbooking - If checked, prevents overbooking for Team and and Skill view.Â
Prevent Overflowbooking - If checked, prevents Overflow-booking for Advisors.Â
Use DMS Complaint - checked or unchecked:Â
If checked, this will put a check in the check box Show Complaint on the Book Appointment form. If Show Complaint is checked on the Book Appointment form, displayed is the default complaint per opcode from the DMS. If the user enters their own text for the complaint, this text will override the default in the DMS.Â
If unchecked, a check will not display in the check box Show Complaint on the Book Appointment form. The default complaint does not display. The system sends the complaint the user manually entered, and if nothing is entered, DMS default complaint is used.
